Exhibitions Program Coordinator

Curatorial and Planning

Reporting to the Heads of Exhibitions, Administration, the Exhibition Programs Coordinator coordinates 8-10 exhibition projects and permanent collection rotations per year: maintains the day to day status of exhibitions, manages checklists for exhibitions, prepares draft contracts, negotiates with other institutions, independent contractors and living artists on details of contracts, monitors compliance of contracts, assists with budgeting, and financial reconciliation for exhibitions.

Some duties include: Coordinate meetings and other planning throughout all stages of assigned exhibition projects; work with curatorial and contributing departments on a daily basis to manage projects; prepare single composite schedule of deadlines for each exhibition for use by curator and contributing departments and ensure that deadlines are met; coordinate approval and dissemination of all official information regarding exhibition titles, dates, credit lines, etc.; work with curators, contributing departments and outside institutions to coordinate checklists for exhibitions; pull reports from collections management database (The Museum System) to assess checklist status and analyze budgetary implications; develop packing/shipping budgets; assist Head of Exhibitions Administration and Senior Financial Analyst in preparation, updating, and monitoring of individual project budget; attend budget meetings with curator and contributing departments; prepare financial reconciliations and invoice participating institutions; negotiate agreements for exhibitions as assigned; prepare amendments, addenda to agreements; prepare artist, designer and independent contractor agreements; monitor compliance with terms of agreement and prepare follow-up reports as necessary; performs other duties or special projects as assigned; maintains regular and reliable attendance.

The qualified candidate will have at least two to four years of experience in an Art Museum setting.  Experience organizing exhibitions preferred. A professional level of knowledge in computer skills including comfort with Microsoft Word and Microsoft Excel.  A combination of related education, training, and experience will be accepted.
