Curatorial Assistant (Modern & Contemporary Art and Folk & Self-Taught Art)

Employment Status: Regular Part-Time

POSITION SUMMARY:
This position supports the activities of the departments of Modern Contemporary Art and Folk and Self-Taught Art, providing administrative and research support, as well as assisting in various activities related to the development of these departments. These activities include but are not limited to documenting, interpreting and assisting with the collections and supporting the development of exhibitions.

WORK SCHEDULE:
• 30 Hours per week
• Hours vary between 9am – 5pm, Monday – Friday with occasional nights and weekends as needed.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

ADMINISTRATIVE

  • Perform general administrative tasks including composing/typing correspondence, maintaining departmental files, patron and gallery contacts, responding to telephone, email, or in-person inquiries, and other duties as required.
  • Track all related department funds through orderly maintenance of budget records and reports.
  • Promptly process and track invoices for payment, check requests, and reimbursements. Manage the curators’ schedules, make travel arrangements, and act as communication bridge when curators are unavailable.
  • Maintain a neat, well-organized office (including both electronic and paper files of digital images and departmental resources).
  • Work with development staff to organize Friends of Modern & Contemporary and Folk & Self-Taught Art events; maintain close communication with members of Friends through regular mailings and email updates.
  • Other duties as assigned.

EXHIBITIONS AND COLLECTIONS

  • Assist curators with exhibition and publication development, implementation, and coordination.
  • Prepare presentations, update fact sheets, help develop and maintain checklists, assist with label copy, circulate exhibition proposals, and facilitate loan requests.
  • Assist with developing, reviewing, and editing related departmental copy, including but not limited to didactic material, catalogue text, presentations, captions and credits, and other relevant material.
  • Work with exhibitions staff to coordinate receipt, development and monitoring of exhibition proposals and related correspondence.
  • Support curators in collections development including assisting in the preparation of materials and presentations for meetings, conservation review, and all relevant activities of the department.
  • Coordinate with Collections and Exhibitions, Education, and other relevant staff curators’ requests for installation of works or other gallery changes.
  • Facilitate and manage scholarly requests for collection viewing including access to galleries, study room, digital resources, or object storage.
  • Assist curators and relevant staff with development and coordination of special curatorial programs and initiatives.
  • Conduct tours of exhibitions or collection galleries as needed.
  • Update collection and exhibition database records using The Museum System.

QUALIFICATIONS:

Education and Experience:

  • Bachelor’s degree in art history, museum studies, or related field
  • Prior art museum or gallery experience.
  • Prior administrative experience.

Skills and Abilities:

  • Ability to work independently, efficiently, and accurately with little supervision.
  • Strong organizational skills and high attention to detail.
  • Strong communication skills, both verbal and written.
  • Familiarity with basic research methodology.
  • Proficiency with MS Word, Excel, PowerPoint, Outlook (email/scheduling) and similar programs. Training on The Museum System (TMS) will be provided.
  • Proficiency with Adobe Creative Suite desirable.
  • Ability to work collaboratively with colleagues, as part of a team.
  • Ability to interact professionally with the public and patrons.
  • Ability to solve problems and quickly prioritize needs in a variety of situations.
