Coordinator Graduate Program

Position summary: The Program Coordinator contributes to implementation of Graduate Studies co-curricular initiatives, including graduate student orientation, graduate program exhibitions, and graduate program-related events; and provides support to graduate program directors of assigned graduate programs.

Major role functions:

  • Contribute to organizing Graduate Studies orientations, exhibitions, and commencement.
  • Contribute to planning, promotion, and support of Graduate Studies projects, exhibitions, and events.
  • Provide budgets, contracts, and related support to assigned graduate program directors.

Position responsibilities:
Graduate Studies Co-curricular Programming

  • Contribute to implementation of orientation programming for all incoming graduate students throughout the year, including the summer low-residency programs.
  • Support Graduate Studies commencement preparations and rehearsals.
  • Support planning, communication, documentation, and promotion of Graduate Studies sponsored exhibitions and co-curricular activities.
  • Provide contract and Workday support for orientations, exhibitions, and co-curricular activities.
  • Provide good customer service to graduate students and faculty.
  • Recommend policy and procedures relating to graduate co-curricular programming and operations.
  • Occasional evenings and weekends required.

Graduate Degree Program Support

  • Monitor and report on operating and restricted budgets.
  • Consult regularly with Manager of Academic Operations to review in-progress contracts.
  • Attend annual budget planning meetings.
  • Complete regular budget reconciliations with Manager of Academic Operations.
  • Attend trainings and innovation meetings with cross-functional partners as scheduled or relevant.
  • Collaborate with directors to issue contracts and payments to independent contractors, suppliers, and vendors.
  • Schedule payments and reimbursements to students, when applicable.
  • Support requisition of program supplies and materials through Workday.
  • Facilitate communication of urgent issues.
  • Submit maintenance requests via eMaint system.
  • Coordinate campus space reservations for events.
  • Perform other related duties as assigned.

Required skills and experience:

  • Associate’s degree
  • Proven experience providing administrative support in a professional office setting
  • Demonstrated excellence in customer service
  • Strong organizational skills
  • Evidence of excellent verbal and written communications skills
  • Proficiency in Human Resource Information systems, Google Apps, Microsoft Office Suite,
  • Adobe Creative Suite, Zoom, Slack
  • Exceptional time management skills, including multitasking and prioritizing duties
  • Previous experience managing simple budgets and/or basic financial transactions
  • Ability to work effectively with a diverse population of students, staff, faculty, and guests

Valued skills and experience:

  • Bachelor’s degree
  • Proficiency in Workday and Canvas
  • Demonstrated ability to work independently as well as in a fast-paced collaborative environment
  • Experience working with confidential information
  • Professional experience in higher education
  • Previous experience working in arts and/or non-profit organizations
  • Demonstrated expertise in creating and updating web content
  • Background, education, or interest in contemporary art or museum studies or curatorial work
  • Familiarity with building local networks
