Exhibition Production Coordinator

Americas Society seeks a highly organized and detail-oriented individual with interest in Latin American and Latinx art history to work as exhibition producer. The ideal candidate will exhibit excellent oral and writing skills in English and Spanish, have flexibility to adapt to changes, and demonstrate the ability to work in a fast-paced environment. This role will support the Visual Arts Department in our New York office and report to the chief curator and director of Visual Arts.

Responsibilities

  • Advise and assist the director of visual arts and guest curators in the research, conceptualization, organization, production, and implementation of exhibitions and public programs for Americas Society and other partner organizations.
  • Negotiate and coordinate loans, shipping, insurance, and transport of artworks and objects with artists, collectors, galleries, and museums nationally and internationally.
  • Work closely with installation teams and preparators.
  • Help supervise installation and de-installation of exhibitions, including packing and unpacking of artworks.
  • Register loaned art objects and produce condition reports for all loaned art objects.
  • Manage exhibition and production budgets, organize exhibition schedules and contracts, and manage payments for vendors and contractors.
  • Maintain contact with guest curators, editors, authors, designers, and suppliers.
  • Work directly with publishers to coordinate publications of monographs and pocketbooks as part of the exhibitions.
  • Help writing exhibition dossiers, exhibition brochures, wall text, and labels for gallery exhibitions and occasional grant writing as required.
  • Supervise daily operations of gallery and gallery attendants.
  • Supervise interns, independent contractors and installation team.
  • Supervise, coordinate, and facilitate activities of visiting conservators, registrars, preparators, and other museum professionals.
  • Monitor and adjust gallery environmental conditions
  • Oversee necessary conservation and restoration of loaned art objects included in exhibitions.
  • Act as gallery and Americas Society liaison with all contractors dealing with any aspect of gallery operations.
  • Help organize inventories and keep track of the Americas Society book and objects archive with the help of gallery attendants
  • Coordinate conservation and restoration, framing, packing, crating, storage, and transit of permanent collection and loaned art objects as needed.
  • Supervise operations of art resource library, including books, periodicals, slides, videos, and artist files. Respond to requests for consultation and research, and facilitate access when required.

Qualifications

  • M.A. in arts administration and/or art history, and three or more years of relevant work experience in art institutions (e.g. art galleries, museums, nonprofits, foundations)
  • Experience in exhibition production, registrar work, and art gallery operations.
  • Interest and knowledge in Latin American and Latinx art, as well as doing historical art research as needed.
  • Excellent English communication skills (written and spoken)
  • Spanish fluency (written and spoken)
    Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Working knowledge of Sketchup, In-Design, Photoshop, and HTML are a plus
  • TMS and other database knowledge are also a plus
  • Comfortable working on various projects simultaneously
