VOLTA Art Fair fosters galleries in staging ambitious solo and group presentations, refining the experience to its essential elements: the artists and their work. This focus on compelling visual statements by up-and-coming and established artists cultivates a vibrant and approachable environment of discovery for the engaged collector. With editions in New York and Basel, VOLTA builds the foundation and platform for younger galleries to participate in the art markets’ major cities.

RAMSAY FAIRS is a global event organizing company, which runs fifteen art fairs annually. The Affordable Art Fair was founded by our CEO Will Ramsay in 1999 with VOLTA Art Fair acquired by the group in 2019 and the British Art Fair joining the family in 2022.

We are seeking an Exhibition Coordinator based in New York City or London.

THE ROLE

The role involves taking ownership of the administrative processes required to run successful exhibitor focused, public-facing events. The Exhibition Coordinator will receive coaching from our experienced team and have exposure across all aspects of organizing an art fair. From helping to produce floor plans to developing content and organizing VIP events, this role will touch all aspects of fair production.

Responsibilities include:

Gallery Liaison:

  • Supporting the Fair Director with gallery sales logistics (following up with support on the application process, booth assignments)
  • Visiting gallery spaces in New York City and art fairs on a regular basis to establish relationships for VOLTA
  • Compile research data and comparative analysis; as part of this review and develop new opportunities to target and secure galleries for all VOLTA editions
  • Update and maintain systems (including application information and sales report)

Support for Fair Production:

  • Supporting the Operations Manager with pre-fair organization, such as exhibitor relations
  • Supporting the Operations Manager with on-site fair organization, such as venue logistics, art shipments
  • Feed into and maintain fair procedures to improve operations and processes for future fairs
  • Recruiting and managing temporary Fair Assistants for each fair, ensuring this team operates efficiently and effectively on-site
  • Point of contact for incoming on-site show office enquiries via phone, email, and in person

Support for Marketing & Communications:

  • Contribution to and proof reading of gallery and visitor materials such as fair guide, exhibitor manual and gallery communications
  • Collecting and cataloguing all gallery submitted materials required for fair participation, fair programming, marketing campaign content
  • On-site support of Marketing and Communication related tasks when it comes to organizing influencer events, private activations or sponsored material

The Candidate must have the following characteristics:

  • Excellent communication skills and confidence in dealing with galleries, contractors, and visitors
  • Acute attention to detail, efficiency and organizational skills
  • Excellent at prioritizing and multitasking
  • Team player, works well with various personalities and is able to perform well under pressure
  • Strong initiative, with creative problem-solving and organizational development experience
  • Knowledge of Salesforce and ticketing systems such as Eventbrite/See Tickets.
  • Fluent in English, German and additional languages are a plus
  • Understanding of art industry, international art and event production
  • Ability to work individually and self-motivated within a hybrid remote working environment across different time-zones

TIMESCALE

The Exhibition Coordinator will be in daily communication with Fair Director and Operations and Marketing Managers. Although the team is globally based, Ramsay Fairs, a small, tightly knit team that works closely together to ensure the smooth running and success of our fairs and external events. All members of staff also contribute to maintaining relationships with various institutions, galleries and visitors. We are hoping to decide the successful applicant as soon as possible.

Schedule:

Full time position of 40 hours per week based out of our Brooklyn office in DUMBO or out of the London office on a hybrid schedule. Participation in additionally scheduled special events on some weekends and evenings will be required. National and International travel will be required.
