Overview
The Learning Co-ordinator role is vital in ensuring the smooth running of the museum’s varied learning programmes. They will support the Learning team with the delivery of exciting events and programmes, as well as being the main contact for the Learning team for internal and external enquiries.
The Learning Co-Ordinator will report to the Assistant Programme Manager, but will work closely with members across the team, including the Head of Learning.
The main two programmes the postholder currently supports are:
- The Design Museum’s Schools Programme supports the National Curriculum for Design and Technology and is tailored for key stages 2-5, offering students and educators design education facilities and workshops supporting a vibrant programme connected with the wider ecology of design practice, networks and communities.
- The Design Museum Academy provides profit-led educational experiences in design. It provides a varied and interdisciplinary programme of courses and workshops for non-specialists and learning enthusiasts, introducing them to the wonderful world of design. Constantly in development, the Design Museum Academy currently programmes courses for business, Design Camps for young people, content for Higher Education and adult learning classes both in person at the Design Museum and online, in the U.K. and overseas.
The role would suit a person with outstanding administrative skills and experience with events or programme management.
Job scope
Working closely with the Assistant Programme Manager Learning, Senior Learning Partnerships Manager, Senior Curator Public Programmes, Head of Learning and the wider Learning Team, the Learning Co-ordinator will provide administrative support across the Learning team. They will book rooms, coordinate school and freelancer bookings, help to deliver high-quality events, process invoices, administer post-event surveys, purchase materials and liaise with a range of stakeholders, support marketing and communications relating to each strand of the Learning programme.
They will be a critical point of contact for colleagues across the museum and external stakeholders, freelancers who work closely with the team to deliver content. The post-holder will work closely with the Assistant Programme Manager Learning to develop and grow the programmes, particularly as it relates to the museum’s schools, courses & workshop programmes.
Job description
Administrative support
- To deliver administrative support for the Learning programmes including working closely with the team to ensure smooth delivery of the programmes.
- To work closely with the team and respective programme managers & leads to update the programme database and ensure accurate records of programme activity, including monitoring progress against targets relating to participation in workshops and key events.
- To support delivery of commissions (this could include print, exhibition, or new website production).
- To support the operational delivery of the schools programme.
- To ensure the most efficient use of the learning spaces by booking groups and freelancers in a timely and complementary manner.
- To manage Learning rooms internal and external bookings as the main point of contact across the museum.
Event delivery support
- To prepare event schedules for all internal Learning events with support from the relevant Learning Producers.
- To assist in the set up and delivery of Learning programme events including workshops, talks and other ad-hoc events. This will include supporting events on weekends.
- To administer, collate and evaluate post-event feedback surveys across the Learning team.
Communication and marketing support
- To answer telephone and email queries about the Learning programmes as required and provide information to programme participants.
- To support the co-ordination and distribution of programme materials including in-house and out-sourced mailings to schools.
- To liaise regularly with the Visitor Experience, Events, Communications and other relevant colleagues about activity relating to Learning programmes.
Systems administration
- To ensure key contacts are logged on the museum’s CRM system (training will be provided to support this).
- To support financial recordkeeping by working closely with the Learning Team to generate and process invoices
- To support the Learning Team with the purchase of programme materials by liaising closely with the Finance department.
Volunteers
- Working with and supporting volunteers and ensuring their full integration in the museum.
Person specification
Knowledge, skills and experience
Essential
- Demonstrable administrative skills, including ability to proactively plan and prioritise workload to deliver outputs to agreed standards, deadlines, and budgets.
- Ability to communicate effectively and confidently, both in writing and verbally, with colleagues and external contacts within a museum and education environment.
- Experience of organising small to large scale events and supporting their delivery.
- The ability to build relationships with participants, project partners and colleagues across the museum.
- A keen eye for detail focussed on delivering excellent service to external and internal customers.
- Knowledge and experience of using Microsoft Excel
- Excellent IT skills and a willingness to learn about new systems
Desirable
- Experience of working with and understanding of secondary schools or the formal learning sector.
- An interest in design.
- Experience of using Access or other CRM databases
