Under supervision, the Associate Editor will support the production of all publications originating in the department of Publications, including, primarily, catalogues and other books as well as, secondarily, the Museums’ member magazine Fine Arts; printed ephemera, signage, invitations, retail products; and other editorial projects created for the Museums. The Associate Editor will coordinate, edit, proofread, and traffic catalogue copy and other related materials in liaison with the Editors. Responsibilities also include assisting the Director of Publications and Editors in copyediting, proofreading copy, researching images, and performing other duties as assigned.
Typical Duties and Responsibilities:
- Copyedits materials to conform to the Museums’ house style, including materials originating from the Curatorial, Education, Exhibitions, Development and Membership, and Marketing and Communications departments.
- Coordinates with curators, editors, designers, printers, and others to receive, edit, proofread, and traffic editorial materials, including books, articles, and gallery didactics. Reviews materials, tracks changes, and works with curators and editors to finalize texts. Submits edited text to graphic designers and reviews layouts.
- Assists the Director of Publications in procuring images and copyright information for catalogues and books; helps to compose flap and marketing copy for catalogues; helps to compose book and catalogue proposals.
- Assists with the book inventory and distribution. Assists the Director of Publications with invoicing and budget projects.
- Assists members of the Publications Department, including routine office tasks, correspondence, phone calls, or record-keeping, as assigned.
Minimum Qualifications:
Education: Bachelor of arts degree in English, journalism, or art history, or an equivalent combination of training and experience.
Work Experience: At least three years of experience in writing, copyediting, and proofreading, preferably in a publishing and/or museum environment.
Additional Knowledge: Familiarity with the Chicago Manual of Style required; AP style helpful.
Skills and Abilities:
- Proven ability to set priorities, anticipate demands, and coordinate stringent deadlines.
- Skill in communicating clearly and effectively, working under pressure, and dealing effectively and tactfully with museum colleagues, freelancers, and vendors.
- Ability to manage multiple projects at one time.
- Strong organizational, editorial, and proofreading skills; familiarity with art and art-historical terms and nomenclature preferred.
- Knowledge of French, Spanish, or Italian desired but not required.
- Ability to visually inspect detailed printed material.
- Ability to work on computer, using editing, imaging, and design software on both Mac and PC platforms.
- Ability to work well as a team member or individually, as required.

Step 1 – Start of the pay range is $30.22 per hour
This is a fixed-term union position with a duration of twelve (12) months. This role is eligible for the Museums’ benefits package, including medical, dental, and vision insurance plus a generous time off package.
