Functions

Management of artwork loans

  • Linking, coordinating, and monitoring artwork loans with various departments involved, including assurance, loan contracts with the National Institute of Fine Arts and Literature (INBAL), different institutions, museums, exhibition venues, and collectors.

Management of artwork donations

  • Documentation management with the donor and the National Coordination of Visual Arts (CNAV).
  • Management and monitoring of donation contracts with the legal department of INBAL and the donor.
  • Management and monitoring of registration assignments in SIGROPAM (General System for the Registration of Artistic Movable Heritage) with the National Center for Conservation and Registration of Artistic Movable Heritage (CENCROPAM).

In-kind Payment Program

  • Providing support in filling out, submitting, reviewing, and correcting the documentation required for the procedure, before the museum committee, CNAV, artists, and the Tax Administration Service (SAT).

General Activities

  • Processing, sending, and monitoring contracts.
  • Processing, sending, and monitoring insurance.
  • Processing, sending, and monitoring notifications of artwork movement.
  • Formatting, editing, updating, and monitoring lists of artworks for exhibitions.
  • Liaising with CENCROPAM (evaluation, budgets, appraisals, intervention, and artwork movements).
  • Liaising with CNAV (national and international artwork loans).
  • Liaising with SGPAI/DAJ (contract requests and follow-up).
  • Liaising with RM/INBAL (insurance requests and follow-up).
  • Liaising with public and/or private institutions (national and international).
  • Preparation and updating of condition reports.
  • Assisting in on-site photographic documentation of the reception, unpacking, installation, exhibition, control, changes, dismantling, packing, collection, and movement of artworks.
  • Supervising artwork transportation (curatorship).
  • Personal liaison with curators and/or exhibition coordinators.
  • Providing assistance to curators and artists during unpacking, evaluation, installation, and dismantling of artworks.
  • Preparation of documentation related to the department: letters, receipts, memorandums, lists, minutes, etc.
  • Physical and Dropbox cataloging, digitization, archiving, storage, and updating of procedural files and documentation generated for each exhibition project or projects related to the department.

Requirements

  • Full-time availability.
  • Minimum 1 year of experience.
  • Academic background in Art History, Humanities, or a related field.
  • Knowledge of processes and procedures of INBAL.
  • Communication and coordination with different INBAL work centers.
  • Computer skills: Microsoft Office, Google, and Dropbox.
  • Friendly demeanor for interactions with artists, collectors, galleries, and curators.
  • Proficiency in English language.
  • Strong spelling, writing, and database skills.

Terms of employment:

Department: Artwork Registration

Contract: Freelance (Chapter 3000)

Duration: Annual, renewable each year based on performance.

Schedule: Full-time, 10:00 AM to 6:00 PM (Monday to Friday, with one-hour lunch break).

Work Location: On-site.

Reports to: Artwork Registration Department.

Direct collaboration with: Exhibition Design, Security, Curatorial, Director, Deputy Director, Olga and Rufino Tamayo Foundation.

Interaction: With all departments.

Start Date: July/August 2023.

Workplace Location: Artwork Registration Offices/Artwork Warehouse, Paseo de la Reforma 51, Bosque de Chapultepec, Del. Miguel Hidalgo, 11580, Mexico City.
