Overview
This role is responsible for managing the coordination of exhibitions at the 1002 Madison Avenue gallery working with the artist in the lead up and installation of the show.
Main Responsibilities
Exhibition Coordination:
• Liaising with artists on expectations for the exhibition and requirements for installation and implementing these in discussion with the Artist Liaison
• Coordinating fabrication of work, framing and sourcing of specific material for the purposes of the exhibition
• Researching and purchasing material for show-change as requested
• Drafting installation schedules for discussion internally
• Conducting fabrication research specific to show-change
• Liaising with the Technicians and Workshop on show-change specific fabrication – not necessarily artwork related.
• Liaising with contractors and suppliers on the requirements for show-change
• Liaising with shippers to book transport and organise local shipments for show-change
• Booking in equipment as required by the Exhibitions team for show-change
• Working with the Registrars with regards to the return of works post Exhibition and local / long term storage
• Liaising with Operations to discuss special uses of gallery spaces
• Liaising with Exhibitions Registrar on scheduling of movement of artworks for exhibition
• Updating exhibitions lists and show-change archive / records
• Generating Exhibitions Overviews with coordinators for internal reference
• Maintaining ‘sample’ library (carpets, paint, fabric etc) to assist with future show-changes
• Generating and updating exhibition budgets and tracking costs against the budget
• Managing technicians in build-up to and installation of exhibition
• Responding to internal requests relating to the artist and the exhibition – e.g. sales and exhibition cost
• Managing artist’s time during installation alongside the relevant Artist Liaison
• Scheduling the upkeep of the artworks during the exhibition as required
• Ensuring the gallery packs are prepared, regularly updated and the stock maintained
• Creating computer visualisations of gallery spaces for internal and artist’s reference via SketchUp or comparable programme (training can be provided)
• Commission, stock and send to-scale gallery models, and create to-scale artwork models as required
• Booking flights & accommodation for the Exhibitions team, visiting artists and / or artists’ assistants and curators
• Preparing itineraries and welcome packs for all visiting artists and artists’ assistants and curators
Fabrication
• Overseeing fabrication projects, including liaising with artists on expectations, requirements etc and ensuring these are met by the fabricators and suppliers
• Researching and purchasing materials; tracking orders and updating the budgets and inventory; ensuring system is updated with framing status, costs and specifications
• Referring fabrication costs to Artist Liaisons / Directors as necessary for authorisation
• Co-ordinating framing of works in consultation with the Fabrication Coordinator
• Liaising with Registrars, Sales, Artists Liaisons and Archives regarding scheduling of fabrication and shipment of works
• Liaising with the Registrars and Artist Liaisons in relation to storage, collection and movement of the selected artist’s works
General
• Adhere to travel booking policy ensuring budget and company guidelines, book cars and couriers as requested
• Pass invoices for purchases made within 48 hours of receiving.
