Role Mission
The Exhibitor Relations Manager is responsible for working with galleries and independently assisting approximately 100 galleries participating at Art Dubai. The manager is responsible for all aspects of the fair including daily scheduling, booth setup and de-installation, storage, shipping, events, and private invitations. The manager will communicate with logistical partners and shipping contractors to ensure a smoothly run event.
Job Description
Working closely with the Artistic Director, the Exhibitor Relations Manager is responsible for all participating galleries across the gallery sections (Contemporary, Modern, Bawwaba, and Digital) and their exhibitions at the fair.
Main Responsibilities
- Manage departmental communications with all galleries with regards to their participation at the fair: floorplans, exhibiting artworks, price lists, catalogue content, VIP invitations, etc.
- Liaise with guest curators and committees: manage budgets, curatorial agreements, section reporting, and committee meetings.
- Manage the development of galleries-related content on the website: applications portal, galleries portal, online catalogue, individual gallery web pages, etc.
- Manage all finances and budgets related to galleries: gallery invoices and payment agreements, gallery support plan agreements, and booth projections.
- Manage the buildup of the exhibition and the display of artworks.
- Manage the relationship with contractors on all gallery sections – floorplans, individual booths, lighting, fascias, carpet, signage, etc.
- Manage the relationship with shippers & logistics – liaise on logistics, contracts, tax, imports, exports, loading bays, re-hanging, and storage.
- Coordinate with departments in the lead up to the fair including:
- Fair Management: App, Fair Collateral, Maps, Adverts, Access Passes, etc.
- VIP: Artwork Price List Presentations, VIP Designations, Database Maintenance and Sales Tracker
- Programming: Sculpture Park
- Communications: Proof any galleries articles, newsletters, blogs, etc. Finalize and share statistics for announcements and press releases.
Key Requirements
- 4-5 years’ experience in an exhibitor or client relations role within the Arts industry is ideal.
- Excellent administration and logistics skills.
- Ability to track and manage financial resources.
- Experience of working in cross-departmental teams or structures to deliver projects.
- Understanding of the art and design world.
- Ability to think strategically.
- Ability to work, write, and execute under pressure; manage and prioritize multiple tasks while sticking to deadlines.
