Overview
Position: Production Manager
Salary: £28,000 – £32,000 pro rata
Contract: Fixed term (varied hours, March to June)
Location: Sheffield (hybrid working options)

Reporting Structure
Reports To: Head of Operations & Production
Direct Reports: Production Coordinator, Production Assistants, Venue Coordinators, Volunteers
Collaborates With: Production, Operations, Box Office, Events, Film Programme, Alternate Realities Programme, Talks & Sessions Programme
Internal Stakeholders: Managing Director, Creative Director, Head of HR & Participation, Head of Finance, Assistant Accountant
External Stakeholders: Digital film management contractor, Technical contractors & crew, IT suppliers, Venues, Box Office and Streaming Platform Providers
Responsibilities
Planning, Systems, and Processes
- Develop operational documents: event management plans, risk assessments, run sheets, schedules.
- Compile critical event information into production documents.
- Administer festival schedule on FIONA platform.
- Update production deadlines and communicate with departments.
- Coordinate audience voting and audio recording for industry sessions.
Financial Management
- Manage budgets and source cost-effective quotes.
- Report budget fluctuations to Head of Operations & Production.
- Liaise with Finance team on cash flow and invoice tracking.
External Stakeholder Engagement
- Coordinate with festival post-house partner for digital asset production.
- Ensure timely delivery of films and DCP content.
- Source and manage IT equipment and furniture suppliers.
- Collaborate with technical contractors for event provisions.
People Management
- Supervise Production Staff, ensuring tasks and briefings are clear.
- Partner with HR for venue coordinator recruitment and training.
- Oversee the Film Crew Coordinator.
Festival Delivery
- Brief venue staff, technical crews, and coordinators.
- Ensure high standard technical delivery and festival branding.
- Manage IT equipment and furniture logistics.
Post Festival Duties
- Manage return of hired equipment and venue breakdowns.
- Assist with festival debrief preparation.
Additional Duties
- Handle phone and email inquiries.
- Support diversity and inclusion initiatives.
- Adhere to health, safety, and environmental policies.
- Promote GDPR compliance and professionalism.
Requirements
- Experience in production management in film or cultural events (Essential).
- Budget management skills (Essential).
- Stakeholder relationship management (Essential).
- Organized, detail-oriented, problem-solving skills (Essential).
- Technical awareness in IT and AV (Essential).
- Commitment to diversity & inclusion (Essential).
- Health and safety, first aid, project management qualifications (Desirable).
- Interest in arts and culture (Desirable).
- GDPR knowledge (Desirable).
