Introduction
The Gallery Administrative Assistant position offers an engaging opportunity for those passionate about the arts and culture sector. The ideal candidate will possess a Bachelor’s degree and a minimum of two years of relevant work experience. Key traits include strong communication skills, the ability to work well in a team, and a proactive approach to tasks.
Location and Work Hours
The selected candidate will join the team at a gallery located in Sheung Wan. The role involves both public-facing duties and administrative support. Work hours are from Tuesday to Saturday, from 12 PM to 7 PM.
Responsibilities
- Support Gallery Directors by maintaining the inventory and client database and performing daily operational tasks.
- Provide logistical support for exhibitions, both in-house and off-site, including setting up artworks and handling logistics for art fairs. This involves preparing shipping documents and insurance.
- Lead press outreach efforts.
- Handle sales-related administrative tasks, such as creating quotes, issuing invoices, monitoring payments, and coordinating deliveries.
- Ensure the gallery remains clean at all times.
- Welcome and interact with gallery visitors, ensuring a friendly environment.
Qualifications
- A Bachelor’s degree, preferably in arts and humanities.
- Familiarity with Mac OS, Microsoft Office, and Adobe Creative Suite (Photoshop, InDesign, Illustrator) is beneficial.
- Fluency in English and Cantonese is essential, with Mandarin being an additional advantage.
- Exceptional communication and organizational skills are crucial.
