Position Overview
The Public Engagement Coordinator plays a crucial role within the Public Engagement Team. The Coordinator is responsible for the project management of programs, focusing on administrative systems and logistical support for exhibition programs and events. This position involves direct reporting to the Lead Programmer/Producer, Public Programs, and occasional reporting to the Public Engagement Manager.
Key Responsibilities
- Manage bookings for resources, staff, and spaces for Public Programs.
- Handle finance-related tasks such as processing invoices and overseeing program budgets.
- Produce essential documents like event run sheets and logistical briefs.
- Assist in drafting marketing materials and maintaining promotional image files.
- Provide guidance and supervision to casual staff members to ensure smooth event execution.
Essential Qualifications
Applicants must demonstrate:
- At least two years of experience in a similar role with a focus on administrative and logistical tasks.
- The ability to balance multiple priorities and meet deadlines.
- Strong independent working skills and excellent administrative capabilities, including computer literacy.
- Clear and effective communication skills.
- Experience in coordinating staff, spaces, and resources, along with stakeholder management abilities.
- Basic technical knowledge for setting up AV equipment and troubleshooting issues.
- Willingness to work flexible hours, including weekends and evenings.
Desirable Qualifications
- A keen interest in arts administration.
- Project management skills and experience.
- Proficiency in Excel and budget management.
- An understanding of museum audience engagement strategies.
- Relevant tertiary education.
- Familiarity with the art museum and gallery landscape.
- Experience in marketing copywriting.
