Art Night Exhibition & Events Producer – Washington Project for the Arts, Washington, DC, USA

Washington Project for the Arts (WPA) is seeking an Art Night Exhibition & Events Producer to coordinate the exhibition, artist relations, and artwork logistics for Art Night 2026, one of the organisation’s largest annual fundraising events.

Held in partnership with Hickok Cole Architects, Art Night features approximately 80–100 artists and more than 100 artworks, supporting artists through a benefit exhibition where proceeds are shared equally between participating artists and WPA.

About the Role

The Art Night Exhibition & Events Producer serves as the primary liaison for participating artists and oversees artwork logistics, exhibition coordination, installation, and sales administration for the event.

The role involves working closely with WPA’s Executive Director, coordinating multiple stakeholders, and ensuring the successful delivery of a large-scale fundraising exhibition and benefit event.

Responsibilities

  • Support artist invitation and artwork selection processes
  • Coordinate administration of the Art Night Open Call
  • Prepare materials for artwork review and selection
  • Manage artist notifications and communications
  • Maintain artist and artwork databases and records
  • Serve as the primary point of contact for participating artists
  • Collect contracts, artwork information, artist statements, and promotional materials
  • Coordinate artwork transportation, intake, and return logistics
  • Oversee artwork inventory, tracking, and documentation
  • Coordinate freelance installers and temporary event support staff
  • Manage artwork labelling, packing, wrapping, and shipping
  • Assist with exhibition layout planning and installation
  • Support artwork sales administration and buyer record management
  • Coordinate artwork information for sponsor materials and online sales platforms
  • Participate in production meetings with WPA and Hickok Cole teams
  • Support exhibition walkthroughs for collectors, sponsors, board members, and VIP guests
  • Coordinate artwork pickup, return, and project closeout activities

Work Schedule

  • Approximately 10–15 hours per week during July, August, and November
  • Up to 30–32 hours per week during September and October
  • Hybrid working arrangement
  • Opportunity for future engagement on WPA’s 2027 Collectors’ Night benefit auction

Candidate Profile

  • Experience coordinating exhibitions, artist programmes, galleries, museums, or cultural events
  • Strong project management and organisational skills
  • Experience working directly with artists
  • Knowledge of artwork handling and exhibition installation procedures
  • Excellent communication skills and attention to detail
  • Interest in contemporary visual art and the Washington-area arts community
  • Ability to lift up to 25 pounds and assist with installation tasks
  • Comfort interacting with artists, collectors, donors, and community stakeholders
