Gallery Assistant

The Andrew Kreps Gallery is currently seeking a Gallery Assistant. The gallery assistant’s primary focus is to be the face of the gallery through answering all incoming calls and correspondence from collectors, curators and other contacts of the gallery. The gallery assistant is an asset for providing administrative support to the staff and artists. S/he is integral in allowing for smooth day-to-day operations of the gallery as well as the general appearance and impression of the gallery through physical upkeep and a friendly yet professional demeanor. The Gallery Assistant works closely with all staff, visitors, vendors and artists.

This is a full-time position starting early September. Occasional evening and weekend hours may be required.

Responsibilities include but are not limited to:

Administrative

• Greet visitors, answer general inquiries and pass correspondence to appropriate colleagues as necessary.
• Manage incoming calls, handle all general inquires and transfer calls to appropriate contact.
• Develop knowledge of exhibition program and artwork in gallery inventory and professionally communicate to visitors.
• Work alongside other staff to help prepare the gallery for upcoming installations/ de-installations as well as client meetings.
• Handle and process all incoming and outgoing non-art deliveries.
• Assist registrar with projects when needed.
• Order and stock all office and gallery supplies.
• Update and maintain vendor contacts for gallery use, mailings, and e-blasts.
• Run errands and schedule messengers as needed.
• File physical paperwork and digital documents.
• Manage artist publications and gallery library both physically and digitally. Alert Directors and staff regarding shipping and distribution updates.
• Assist archivist with website maintenance and artist press packets.

Gallery

• Arrive 10-15 minutes before gallery opens to make sure exhibitions are ready and the gallery is in good order.
• Replenish and stock exhibition documents including press releases, checklists, and announcements.
• Maintain gallery appearance alongside Preparator by scheduling biweekly cleanings/window washing, trash & recycling, and cleaning supplies.
• Available to assist with preparator work, particularly near opening time.

Qualifications

• Previous gallery or museum experience needed.
• Excellent verbal and written communication required.
• Working knowledge of Adobe Suite strongly preferred.
