Administrative Assistant, Curatorial

A newly created position is available for a full-time Administrative Assistant reporting directly to both the Nancy and Steve Crown Family Chief Curator and the Director of Curatorial Affairs. The incumbent will support the day-to-day administration of a creative, fast-paced, collaborative department.

 

Responsibilities:

  • Assist with matters related to the Chief Curator’s office, working closely with the Curatorial Assistant to the Chief Curator
  • Organize departmental and institutional meetings, including PowerPoints and other presentations
  • Supervise interns; help with departmental files and record-keeping, including tracking of budgets
  • Work with members of the department on planning for curatorial travel, invoice vouchers, and protocols related to acquisitions and management of digital assets
  • Assist with correspondence and communication with external contacts, including artists, trustees, donors, galleries, etc., as well as other Museum departments such as Exhibitions and Collections Management, Advancement, Registration, and Research Resources

 

Requirements:

  • B.A., and two years administrative experience; museum or gallery a plus
  • Outstanding organizational ability and attention to detail
  • Strong computer skills, including Microsoft Office, Excel, and PowerPoint
  • Training in TMS preferred, but not required
  • Excellent written and oral skills; good working knowledge of office practices and procedures
  • Ability to work independently and manage multiple deadlines simultaneously
  • Diplomacy, confidentiality, and teamwork skills are crucial
