A department coordinator
Mudam Luxembourg – Musée d’Art Moderne Grand-Duc Jean is seeking a full-time, permanent contract department coordinator for its Communication and Engagement department.
Founded in 2006, housed in a building designed by internationally renowned architect I.M. Pei, MUDAM is Luxembourg’s contemporary art museum. Our mission is to collect, preserve and present the most relevant contemporary art of our time and to make it accessible to a wide audience. We intend to be a leading player in the promotion and understanding of contemporary art through our exhibitions, publications, and artistic and educational programs. Our museum has always been a place of artistic creation and collaboration with artists.
Located in Europe, in the heart of a cosmopolitan country home to over 179 nationalities, Mudam wishes to address all communities and promote their access to contemporary art. In this context, the Communication and Engagement department’s mission is to develop the visibility of our institution on a local and international scale as well as to strengthen public and digital access to our programs and content. Under the direction of the head of department, the permanent team is currently made up of a communications coordinator, a graphic designer, a press officer, a publishing manager and a digital content and relations manager exterior.
As department coordinator, you will play a managerial role within the department. With the head of the communication & engagement department, you will implement various monitoring and analysis tools in order to structure, plan and set project deadlines.
The main responsibilities of the role are as follows:
Coordination for the Communication and Engagement department
- Support and evaluate the implementation of goals defined with the head of department
- Propose and implement necessary adjustments with a view to continuous improvement
- Lead work meetings within the department or with other departments
- Identify, disseminate and plan key deadlines for the department in the overall planning of the museum
- Evaluate the workload and possible needs for reinforcement
- Ensure monitoring of deadlines, anticipate possible delays within the department or with other departments
- Participate in meetings of other departments to learn about current or future issues and developments
- With the Director, the Administrative and Financial Director, and the Head of Communications, set realistic priorities and steps
Internal communication & CRM:
- Ensure and develop internal communication through existing and new tools (internal newsletter, intranet, wiki, etc.)
- Participate in the implementation and development of the CRM tool within the inter-department working group
Development of standards:
- Develop and implement the procedures necessary to optimize work processes within the department and collaboration processes with other departments of the museum
- Ensure precise and documented monitoring of actions carried out and results obtained, make the necessary adjustments while ensuring their proper integration into the museum’s broader work processes
- Implement regular visitor surveys
Financial management and reporting
- Development of forecast budgets
- Monitor commitments and expenses for the department
- Write budget monitoring reports
- Work with the head of the communication & engagement department and the administrative and financial director on the MUDAM annual report
Candidate profile
We are looking for an organized and rigorous person wishing to contribute enthusiastically to the development of the museum. As a candidate, you recognize yourself in this description and can benefit from the following prerequisites:
- Minimum 3 years of experience in a similar role within a communications department or agency
- Diploma in communications or management with specialization in communications or equivalent experience
- Excellent listening, communication and teamwork skills
- Ability to innovate and a constructive spirit of initiative
- Writing and oral fluency
- Mastery of office tools (Office pack and Adobe suite)
- Mastery of business management techniques
- Mastery of project management techniques
- Written and oral command of French and English languages. Fluency in German, Luxembourgish and any other language is an added advantage
- Sense of interpersonal relationships
- Knowledge of the European and international cultural environment, affinity with contemporary art
- Autonomy
