Work Schedule: 37.5 hours/week, overtime as required
Salary: $63,815–$75,046 per year

The National Gallery of Canada invites applications for an Administrative Assistant in the Curatorial Research, Collections, and Exhibitions division. Reporting to the Director, Curatorial Initiatives, this role provides administrative, logistical, and financial support to Senior Curators and departmental staff, including Associate and Assistant Curators, Curatorial Assistants, and student interns. The position is central to the smooth operation of the curatorial division and acts as a key point of contact internally and externally.

Responsibilities

  • Manage administrative tasks, accounting, and purchasing systems
  • Support Senior Curators and departmental teams with logistics and correspondence
  • Draft routine correspondence and reports
  • Organize and maintain electronic and physical filing systems
  • Schedule meetings, travel, and departmental priorities
  • Maintain professionalism in interactions with artists, the public, and external institutions

Requirements

  • Post-secondary certificate or diploma in secretarial/administrative studies or equivalent combination of education and experience
  • Minimum 3 years as an administrative assistant
  • Experience in financial support, budgeting, and bookkeeping
  • Proficiency in Word, Outlook, SparkRock, Teams, Zoom, PowerPoint
  • Knowledge of travel, financial policies, and office management procedures
  • Strong organizational, analytical, and communication skills
  • Ability to work independently and under pressure
  • Bilingual in English and French (intermediate level BBB required in reading, writing, and oral)
