FOTO ARSENAL WIEN is Austria’s new centre for photography and lens-based media, founded by the City of Vienna in 2022. The institution presents contemporary photography in all its forms and also organises FOTO WIEN, Austria’s largest photography festival, and—together with Kunsthalle Wien—the Vienna Digital Cultures festival. The position supports the artistic director and the team across organisational, administrative and editorial tasks to ensure the smooth functioning of the institution.
Job Details
- Position: Assistant to the Artistic Director / Team Assistant
- Contract start: As soon as possible
- Hours: Full-time, 40 hours/week
- Schedule: Monday to Friday; flexible working hours; optional home office
- Salary: Minimum €2,800 gross/month (full-time); higher pay possible based on experience and qualifications

Responsibilities
- Organisational support for the artistic director and team (contracts, insurance, controlling, reporting)
- Organisation and coordination of meetings
- Scheduling, phone management and correspondence (digital & analog)
- Contribution to the creation, editing and proofreading of print materials
- Support in reporting for the artistic director
- Documentation and filing of correspondence and documents
- Participation in meetings and minute-taking
- Organisation of business trips and travel expense reports
- Assistance with orders and various administrative processes
Candidate Profile
- Completed commercial or relevant specialised training, or several years of experience in an assistant role
- Excellent written and verbal communication skills in German and English (additional languages are an advantage)
- Confident use of MS Office
- High social competence and strong team spirit
- Communicative, positive personality with a proactive attitude
- Independent, structured, precise and deadline-oriented work style
- Strong organisational skills and time management
- Ability to make informed and timely decisions
- Discretion and loyalty to the institution
