Position Summary

The Curatorial Assistant supports administrative tasks related to planning and coordinating exhibitions. This role involves managing and administering the Exhibitions Department. The assistant works closely with Marketing and Communications, Development, Visitor Experience, Finance, and Operations teams.

Key Responsibilities

Exhibitions:

  • Assist with planning, coordinating, and producing ICP exhibitions.
  • Prepare and update exhibition checklists, loan agreements, press and marketing materials, and artist contracts.
  • Assist in drafting, researching, coordinating, and producing gallery texts.
  • Provide administrative support during exhibition installation and deinstallation.
  • Maintain active exhibition files, documentation, and project management timeline and milestones.
  • Create, update, and distribute task installation schedules.
  • Organize Exhibitions and Acquisitions Committee meetings, including preparation of meeting material.
  • Give tours of exhibitions to the public, industry contacts, patrons, and others.

Departmental Support:

  • Order and distribute departmental supplies.
  • Process incoming and outgoing mail.
  • Respond to inquiries from other ICP departments and the public.
  • Manage incoming rights and reproductions permissions, including agreements and invoices.
  • Track departmental budget expenditures and reconcile department credit card accounts.
  • Coordinate exhibition proposal review process and responses.
  • Coordinate artwork donation proposal review process and responses.
  • Produce agendas and other materials for cross-department meetings and project-specific meetings.

Additional Responsibilities:

  • Assist with special projects.
  • Additional responsibilities as assigned.
  • Occasionally work evenings and/or weekends.

Preferred Qualifications

Education:

  • Bachelor’s degree in art history or a related field preferred.

Experience:

  • Office environment experience required.
  • Prior curatorial experience preferred.

Skills and Abilities:

  • Excellent written and verbal communication skills.
  • Strong administrative, clerical, and organizational skills.
  • Familiarity with TMS inventory system.
  • Advanced knowledge of current computer programs (e.g., FileMaker Pro, Microsoft Office, PowerPoint, Adobe Creative suite).
  • Ability to manage multiple tasks simultaneously in a demanding environment with limited supervision.
  • Flexibility in meeting shifting demands and priorities.
  • Strong interpersonal skills and ability to function in a team-oriented environment.
  • Discretion, diplomacy, and initiative.
  • Interest in photography and knowledge of the photography world.

Working Conditions

Physical Demands:

  • Frequently lift and/or move up to 25 pounds; occasionally lift and/or move up to 50 pounds.
  • Regularly required to sit and talk or hear; occasionally required to stand and use hands to handle or feel and reach with hands and arms.

Special Environmental Factors:

  • Commute between locations.
  • Work in a general public environment with face-to-face contact.

Compensation and Benefits

Salary: $24.50 to $25.75 Hourly
