Curatorial Assistant 

Department: Curatorial
Reports to: Director of Curatorial Programs 
Status: Part-Time, Non-Exempt

El Museo del Barrio is the nation’s premier Latino and Latin American cultural institution. Our mission is to present and preserve the art and culture of this important and growing community, through our ever-expanding Permanent Collection, acclaimed exhibitions, innovative programs, and renowned bilingual education initiatives.

Supports the Curatorial department, and specifically the Director of Curatorial Programs, in key administrative capacities with precision, detail and clarity. This post has a high level of critical public interface, intra – institut ional and public inquiries, general bilingual correspondence and meetings, and is responsible for maintaining overall schedule of deadlines and budget tracking pertinent to Curatorial projects. Contributes to the planning and implementation of all temporar y exhibitions, Permanent Collection activities, and visual arts publications and programming.

Responsibilities

I. Administrative & Documentation

• GENERAL REQUEST & CORRESPONDENCE: Answer general inquiries from other departments and the public, talking/relaying/responding messages and correspondences between the appropriate parties.
• MEETING: Coordinates meetings, including invitations, materials preparation including power point, space reservation and set up, minute – taking and dissemination as requested; as well, organized any necessary external arrangements, such as flights, hotels, refreshments, and operational and technical details.
• MAILING LIST: Coordinate, supervise, and maintain curatorial mailing list and mailings, including traveling exhibit materials, invitations, and catalogues. Liaise to Institutional mailing list housed in the Development Department.
• ARTIST FILES/EXHIBIT PROPOSALS/RECOMMENDATIONS; Consolidate and bring these materials to the attention of the Director of Curatorial Programs’ respond as requested; and regularly return or provide materials for archiving to the Assistant Registrar. Efficiently respond to regularly – received materials and track such responses and materials.
• TRACKING: Tracking of expenditures against budgets, work flow against project deadlines, and coordination of contract workers including authors, editors, translators, designers; as well as tracking of select attendance, correspondences and materials received and sent.
• PREPARATION: Assist in the preparation of the Materials for specific exhibition projects, grants, or budgets, including careful database entry , proofreading bilingual text and checklists; gathering, tracking, and organization of written, printed photographic or digital materials for signage, brochures and catalogues; and any information required for final narrative, fiscal, or project evaluations.
• DEVELOPMENT: Conduct or supervise research, and participate in revision and review of texts, policies, procedures, systems and activities. Compile and relay appropriate materials to the Education Department, the Museum Shop and the Public Relations Department.

II. Physical Care and Handling

• INSTALLATIONS: Assist as requested in installations and de – installations, including working with crew, contractors, and other vendors; researching, ordering, or resolving problems with materials, supplies, hardware, tools, furniture, etc.; creating labels, checklist, etc.
• ART WORK: Occasionally assist in activities related to the physical care and handling of objects including on – site movement, packing, object preparation for the exhibition, exhibition installation/ de – installation or other duties as directed. Assist in basic object preparatory/ protection tasks, and other tasks related to the safe storage and movement of art objects. Assist as requested in tasks relating to the permanent Collection, including occasionally working off – site at the warehouse where the Permanent Collection is housed.
• PR: Facilitate for Public Relations any information or interviews requested; assisting in galleries when required.

III. Other Related Duties

• SUPERVISED: Supervision of volunteers, interns, and professional contract workers as necessary to execute many of the task described herein,
• LIASE: Serve as the designated Curatorial Liaison for major annual institutional events which include participation from the Curatorial Department, attending meetings, and coordinating all tasks and request, including Three Kings Day (January 6), Museum Mile (June), and Hispanic Heritage Month (Sept 15 – Oct 15), and Dia de los Muertos (November 1).
• Other tasks as assigned.

Desired Qualifications:

• Minimum Baccalaureate degree in Art, Art History, Museum Studies or a related field; Master’s Degree or ABD preferred.
• 2 – 4 years of Curatorial or Administrative experience, preferably related to exhibitions, collections, or publications.
• English/ Spanish bilingual speaking and writing proficiency required.
• High proficiency in various computer and digit al imaging systems and database s required, particularly Word (especially tracking changes and working with foot – or endnotes); Excel; Outlook; Project Manager; Power point; Photoshop. Experience with TMS (The Museum System database). Raisers Edge, and/ or AutoCAD particularly desirable.
• Excellent diplomatic and oral, written, and interpersonal skills
• Ability to work well with various constituencies and supervise when requested
• Neat, detail – oriented, Well – organized, and clear communicator; able to juggle and meet various simultaneous dead lines; work independently while following direction precisely.
