The Job
The Curatorial Department Assistant provides administrative and directed curatorial support to the European Art department.
In this role, you will….
- Coordinate gallery installations and location changes with Registration, Art Crew, and label production
- Coordinate object photography with Visual Resources and conservation exams with MACC, including scheduling and location changes
- Handle all requests from public and museum staff that do not require curatorial input/response such as object information, photo requests, photography permission requests, appraisal/authentication information
- Assist with all aspects of gallery rotations as directed, including compiling object lists, assisting with object labels, and arranging framing and installation
- Assist with exhibition-related publications including sending author contracts, locating images and resource materials, securing copyright permissions, and mailing catalogues to photo and object lenders
- Assist curators with accession proposals and presentations for new acquisitions
- Organize and maintain object files with new research, including new publications, technical examinations, and conservation reports
- Update object records in TMS database
- Assist curators with scheduling meetings, making travel arrangements, processing invoices, and reconciling expenses
- Coordinate incoming loan requests and process and document correspondence related to outgoing loans and requests
- Draft, route, and maintain contracts from Mia templates for curatorial approval
- Develop program ideas with curators and help coordinate visit and travel of lecturers and scholars
- Prepare and maintain correspondence, PowerPoint presentations, and other documents
- Provide object data and artist information to registrars
- Assist with financial record-keeping tasks and maintain all departmental expense and account records, and communicate with Finance department
- Process all approved departmental expenditures, including travel expenses, general expenses, purchase orders, interdepartmental budget number requests, etc.
- Work with supervisor on establishing department budget for each fiscal year
- Communicate and work with donors and galleries as needed
- Work cross-departmentally on member and patron events and preparation
- Coordinate researchers’ visits to the department
- Route incoming and outgoing mail, answer incoming telephone calls and relay messages, and perform other administrative duties as assigned
- Order and maintain inventory of office supplies
- Perform other related duties and responsibilities as required or assigned

You are highly organized, able to handle multiple priorities and interruptions, and can monitor and track projects to keep team members informed of deadlines. You have excellent written communication and editing skills and a high degree of accuracy. You have an interest in art and thrive in a support position.
