Curatorial Department Assistant & Artist Liaison
The Administrative Assistant provides administrative and directed curatorial support to the department of Contemporary Art.
In this role, you will…
- Perform all administrative duties for the department, including: typing correspondence, labels, manuscripts and articles; making photocopies and routing mail; proofing letters and other written documents prepared by curator, assisting in preparation of PowerPoint presentations; handling requests from public and museum staff that do not require curatorial input; maintaining appointment schedule and handling the curator’s travel requests; ordering supplies.
- Conduct research, and maintain and coordinate all filing systems including updating object records in TMS database and coordinating gallery work with other departments.
- Assist curator in administrative details relating to organizing and preparing exhibitions, programs and events.
- Assist curator in art historical research, as directed by curator.
- Process all departmental expenditures, track expense reports and communicate with the Accounting department as needed.
- Coordinate Affinity Group activities including membership, special events, reservations, minutes and mailings.
Specific Requirements
- College coursework in the humanities; BA in art history or demonstrated interest in modern and/or contemporary art history preferred.
- Minimum of three years of administrative experience with organizational emphasis.
- Familiarity with Microsoft Word, Excel and PowerPoint. Familiarity with The Museum System (TMS) database preferred.
- Excellent professional skills with a high degree of accuracy and attention to detail.
- Excellent language and communication skills, self-motivation with the ability to initiate and follow through on independent projects and those assigned.
- Ability to work with and communicate effectively with people of a variety of different educational, ethnic, language and economic backgrounds.
- Must maintain confidentiality and discretion in handling sensitive departmental relations and records.
- Nonprofit/museum experience desirable.
