Director of Operations

apexart has an available position for a Director of Operations. apexart is a non-profit arts and education space in Tribeca, NYC, with a 28-year history of mounting critical exhibitions both in New York and around the world, hosting an international Fellowship Program, organizing events, and publishing books on topics of contemporary interests in the arts. apexart is a small organization with a strong international following.

Responsible for continuity of the exhibition administration, financial organization, development and general oversight and management of the space and works closely with the Executive Director.

  • Salary and benefits total approx. $90k
  • Travel opportunities with international and non NYC exhibitions.
  • Offices are located at 291 Church Street, New York, NY.
  • Hours are Tuesday-Saturday, 10am-6pm, with occasional evening hours (~1-2x month). This is not a remote position.

Must be self-initiating, very responsible, and extremely well organized. A strong critical assessment of the art world and an educational orientation is very important. The candidate must have 3 years of experience as an organization manager with strong logistics and good communication skills. Successful candidate will have a desire and opportunity to learn the complete workings of a small non-profit organization. Applicant works closely with executive director and must be legally eligible to work in the US.

Required skills: Extensive computer skills including: MAC OS, Google Drive, Slack, Quickbooks use or similar, some Adobe, Thunderbird. Problem-solving, logistics, exceptional editing skills.

Exhibition Administration:

  • Each season, apexart mounts 5 exhibitions in its New York City space and 4 exhibitions in locations around the world. The Director of Operations is responsible for coordination with curators, communicating and enforcing apexart policies, and organizing the administrative and financial aspects of each exhibition. This includes vetting the production logistics and feasibility vis a vis both staff and financial resources, editing and providing feedback on curatorial texts, overseeing all related production timelines, providing occasional tours as requested, and establishing targeted outreach about each exhibition along with Dir. of Programs. On occasion, Director of Operations is needed to support installation (lifting up to 25 lbs, cleaning, organizing.)
  • Position requires strong oversight and planning and includes international travel as permitted.

Operations:

  • Oversee and coordinate a staff of four who run apexart’s Fellowship program events, web presence, gallery production and publishing initiatives. The Director of Operations reports to the Founder/Executive Director on all responsibilities, and keeps an eye on deadlines and workflow across all departments.
  • General administration of the gallery space including bill pay, payroll, annual budget, year-end financial reporting and organization, Quickbooks entry, organizing and leading Board Meetings, staff and facility insurance, and greeting visitors.
  • Represent the organization publicly in local partnerships like the Soho Arts Network and press as needed.

Development:

  • Continue established relations with existing funders and manage active grants, including those from the New York City Department of Cultural Affairs, the New York State Council on the Arts, and the National Endowment of the Arts, among many others.
  • Initiate an annual appeal and keep track of donations with Web Dir.
  • Research appropriate grant and donor opportunities and initiate grant applications; keep and adhere to a development schedule.
  • Additional initiatives as ability allows.
