Responsibilities
Loans and Comodates:
- Facilitate communication between donors, artists, collectors, curators, conservators, technicians, heritage authorities, and other stakeholders.
- Ensure loan and comodate processes align with national and international technical standards.
- Gather data and contribute to due diligence and risk analysis.
- Prepare necessary documentation for legal and ethical compliance.
- Organize systematic records using analog or digital tools.
- Process and record loans and long-term comodates according to strategic objectives and policies.
Work Licensing:
- Process licensing agreements for works under the collection’s custody.
- Facilitate negotiations on licensing terms.
- Prepare documentation to ensure legal and ethical compliance.
- Organize systematic records of rights management information.
- Assist other departments regarding the licensing status and authorized uses of works.
Transportation Logistics:
- Coordinate logistics for transporting works by communicating with carriers, customs brokers, insurers, and other stakeholders.
- Prepare and gather transportation documentation according to legal requirements.
- Organize systematic records of work transports.
Temporary Exhibitions and Collection Rotations:
- Assist in organizing temporary exhibitions or collection rotations.
- Facilitate communication between conservators, technicians, and producers.
- Organize and provide information about the works.
- Ensure compliance with institutional policies.
- Organize systematic records of exhibition information.
Incorporation of New Works:
- Process and record the incorporation of new works according to strategic objectives and policies.
- Facilitate communication between stakeholders.
- Ensure alignment with technical standards.
- Gather data and contribute to due diligence for legal and ethical compliance.
- Organize systematic records of work incorporations.
Work Insurance:
- Conduct market research for insurance evaluations.
- Review insurance coverage terms and conditions.
- Ensure the issuance of insurance certificates for works in transit, on display, and for third-party works.
Policies and Procedures:
- Contribute to the development and review of policies, plans, procedures, norms, and manuals for collection management.
- Suggest and promote improvements to collection management procedures.
Requirements
- Bachelor’s degree in Humanities, Applied Social Sciences, Visual Arts, Information Sciences, or Museology.
- Technical training, specialization, or master’s degree in Museology, Collection Management, Museological Documentation, or Museum Studies.
- 3-5 years of experience in museum collection management activities.
- Specific knowledge of collection management processes, including loans, insurance, rights management, acquisitions, transportation, exhibitions, and risk management.
- Specific knowledge of museological documentation and national/international guidelines and standards.
- Basic knowledge of copyright law and customs regulations.
- Basic technical knowledge of conservation of collections and materials and techniques used in artworks.
- Experience in executing complex workflows in a dynamic environment.
- Intermediate proficiency in Office Suite and Adobe.
- Familiarity with database/collection management software (In.Arte).
- Advanced English proficiency.
