
Education Department Coordinator

Under the direction of the Head of Planning and Evaluation, and working closely with the Curator of Education and department section heads as needed, the Education Department Coordinator performs diversified duties to provide essential support for the Department, and will serve as the primary department contact for other Museum departments.
Essential Functions:
- Provide general administrative support for the Department, including meeting arrangements and general Department communications. Maintain and communicate accurate and up-to-date information about department activities as needed.
- Serve as the Department’s Human Resources liaison; work with department staff to complete all necessary paperwork for new hires and current staff.
- Create and implement systems for tracking certain Department financial transactions, including department travel expenses, staff expense reports, requests for payment and reimbursement, and restricted funds transfer requests.
- Manage the Department’s internship program, working with Department staff and with Volunteer and Community Engagement to advertise internship opportunities and recruit interns. Mentor interns, including developing and implementing enrichment programs for summer interns, and provide support to department staff in evaluating interns. Also, hire and supervise department work-study students, ensuring front-desk coverage during all department open hours and coordinating with department staff to assign work-study projects in support of Department programs.
- Provide administrative support for the Department Director as needed, including scheduling group meetings, coordinating department activities as requested, preparing mailings, and creating templates for standard correspondence. Coordinate events held by external organizations with Education Department sponsorship.
- Serve as a software power user. The ideal candidate will be familiar with Microsoft Office, the Tessitura ticketing system, EMS, Drupal and SharePoint, and is available to assist staff, troubleshoot problems and generate reports such as annual Education attendance figures. Also, oversee general updating of the department Intranet site.
Qualifications:
- BA or BS, preferably in Art History, Art Education, Museum Studies, or other comparable degree.
- Two to three years of related experience, preferably in a complex arts organization/museum or other related office environment.
- Solid organizational and follow-through skills.
- Detail-oriented, with strong oral and written communication skills.
- Must be able to multi-task while maintaining a high level of accuracy.
- Self motivated and proactive with good problem solving abilities.
- Able to work on individual projects as well as collaborate and contribute to the Education Department’s team efforts.
- Must be personable and energetic with ability to work with individuals at all levels across the Museum.
- Strong computer skills, including Microsoft Office programs.
- Affinity with numbers to assist with quantitative projects.
- Must be extremely discreet in dealing with confidential information, including Education staff salaries and other pertinent employment information.
