Visual Arts Centre of Clarington is Seeking an Exhibition and Event Coordinator

Position Type: 1-Year Contract (with possibility of extension)
Hours: 25 hours per week
Compensation: $23-$25/hr
Benefits: Two (2) weeks paid vacation and standard employee benefits
Work Arrangement: Hybrid, flexible

The Visual Arts Centre of Clarington (VAC) is a not-for-profit art gallery and arts education centre in Bowmanville, ON. The VAC is dedicated to delivering contemporary art to the Clarington Community, the wider Durham Region, and beyond. It has a 50-year history of community engagement, connecting people of all ages and backgrounds in a creative place for artmaking and learning. The VAC occupies a four-story 1905 Mill, which holds exhibition and studio spaces, including a fully equipped pottery studio, a painting studio, and a rustic loft gallery.

Position Summary

The Exhibition and Event Coordinator is responsible for supporting the implementation of exhibitions and related public programming. Working closely with the Executive & Artistic Director and a small, close-knit team, this role manages exhibition and event logistics, supports artist and curator needs, and assists with installation, production, and presentation of exhibitions and public-facing activities. The Coordinator ensures projects are delivered professionally and efficiently while helping to foster an engaging and welcoming gallery experience.

Key Responsibilities

Exhibition Coordination

  • Coordinate exhibition production, including shipping, installation, and deinstallation,
  • leading exhibition installs directly and/or coordinating external installers and contractors as required
  • Prepare exhibition materials such as checklists, labels, didactics, and artist information
  • Liaise with artists, curators, installers, and contractors to ensure timelines and project requirements are met
  • Support exhibition accessibility initiatives and visitor experience enhancements

Event and Public Program Delivery

  • Support the delivery of exhibition openings, artist talks, workshops, and events, including event setup, delivery, and takedown
  • Coordinate event logistics, including equipment, supplies, and schedules
  • Help ensure events are welcoming, accessible, and professionally presented

Administration and Operations

  • Source quotes and record expenses related to exhibitions and events
  • Maintain organized files related to exhibitions, artists, loans, and events
  • Support data collection and reporting requirements related to exhibitions and public programming

Communications Support

  • Collect information and materials required for promotions and communications on promotional materials and event listings
  • Support the development of content and updates for newsletters, website, and social media channels
  • Assist with audience engagement, outreach, and visitor communications

Qualifications

  • Strong organizational and project coordination skills
  • Ability to manage multiple projects and deadlines in a fast-paced environment
  • Experience coordinating events, projects, or public programs
  • Familiarity with contemporary art and artist-centred practices
  • Post-secondary education in arts administration, visual arts, cultural management, or a related field is considered an asset
  • Experience working in a gallery, museum, artist-run centre, or arts organization is considered an asset
  • Proficiency with Google Workspace is considered an asset
  • Experience with exhibition installation and artwork handling is considered an asset

Work Environment

  • Hybrid work arrangement, with regular on-site presence required
  • Occasional evening and weekend work required for events, installations, and public programs
  • Ability to lift and move artwork, exhibition materials, and equipment (with support as needed)
  • Ability to climb stairs.
