Exhibitions and Publications Project Coordinator – Dallas Museum of Art

Location: Dallas, TX, USA 
Department: Collections, Exhibitions, and Interpretation
Reports to: Head of Exhibitions and Publications n
Employment type: Full-time, Exempt
Schedule: Monday – Friday, 9am – 5pm, approx. 35 hours/week
Salary: Commensurate with experience

The role serves as project manager for select exhibitions, permanent collection installations, institutional publications, and other special projects. Responsibilities include managing deadlines, budgets, cross-departmental communications, publications inventory, and administrative support. The coordinator liaises with external institutions, contractors, and internal departments including Curatorial, Finance, Education, Marketing, and Development.

Key Duties and Responsibilities:

  • Project management for exhibitions, gallery rotations, and special projects, including meetings, deadlines, communications, and budgets.

  • Assist in preparing budgets for exhibitions, publications, and permanent collection galleries. Track expenses, process purchase orders, and reconcile accounting reports.

  • Oversee production and delivery of publications, including exhibition and collection catalogues and brochures. Manage production schedules, communications with stakeholders, and publication distribution.

  • Maintain onsite and offsite publications inventory.

  • Assist in creating and reviewing contracts for exhibitions and publications.

  • Track and route exhibition solicitations and proposals.

  • Maintain exhibition and publication schedules and departmental archives using Teams, SharePoint, TMS, and other systems.

  • Perform other duties as assigned.

Education and Experience Requirements:

  • B.A. degree in Art History, Museum Studies, or Studio Art required.

  • Minimum three years’ experience in exhibitions and publications management.

  • Experience managing project budgets and deadlines; accounting experience a plus.

Skills and Qualifications:

  • Strong administrative, project management, organization, and analytical skills.

  • Excellent written, verbal, and interpersonal communication skills.

  • Proficiency in Office 365, especially Excel; experience with Teams, Planner, and TMS a plus.

  • Knowledge of editorial English usage, grammar, punctuation, and proofreading a plus.

  • Team player, strategic thinker, disciplined self-starter, able to prioritize tasks and meet deadlines.
