The role sits within a department responsible for conceiving, developing, and touring exhibitions in collaboration with international museums and cultural partners. It contributes to Tate’s mission of expanding access to its collection and sharing expertise globally.
About the Role
The Exhibitions Assistant provides essential administrative and research support to the International Partnerships team. The role focuses on supporting exhibition development from initial research and planning through to delivery, ensuring accurate documentation, coordination, and communication across projects.
This position involves working closely with curators and project teams to manage schedules, maintain records, support research activities, and assist in the logistical and administrative delivery of international exhibitions.
Key Responsibilities
General Office Administration
- Provide administrative support to curators and programme coordinators
- Schedule meetings, book rooms, and take minutes
- Process expenses, credit cards, and supplier invoices
- Arrange travel, accommodation, itineraries, and briefing materials
- Maintain accurate digital filing and exhibition records
Programme Support
- Support the planning and delivery of international exhibitions and projects
- Assist with venue research and partner mapping
- Track communications with international partners and maintain databases
- Support research for new exhibitions, including object lists and imagery
- Assist in maintaining exhibition checklists, schedules, and presentations
- Support object research using collections management systems (TMS)
- Assist with exhibition layouts using SketchUp
- Update project documents, budgets, and trackers
- Support proofreading of exhibition-related materials
Requirements
Essential
- Experience in administrative roles in a busy office environment
- Strong organisational and time management skills
- Ability to manage multiple projects simultaneously
- Excellent written and verbal communication skills
- Strong attention to detail and accuracy with data and spreadsheets
- Ability to work independently and as part of a team
- Experience using databases and Microsoft Office tools
