Exhibitions Assistant 

Reports to: Director of Exhibitions
Department: Exhibitions
Classification: Non-exempt

The DMA will:

  • Place art and our diverse communities at the center around which all activities radiate.
  • Pursue excellence in collecting and programming, present works of art across cultures and time, and be a driving force in contemporary art.
  • Strengthen our position as a prominent, innovative institution, expanding the meaning and possibilities of learning and creativity.

Essential Functions:

  • Maintain and distribute in-house exhibitions schedule to all staff and daily calendar to key stakeholders
  • Facilitate review of exhibition proposals and related discussions. Follow-up with other institutions regarding proposals as requested and prepare related correspondence
  • Create Exhibition proposals for DMA organized touring exhibitions
  • Schedule, prepare materials for, and take minutes at exhibition planning, budget planning, logistics meetings, project meetings and others as required
  • Assist the department with the monitoring of all deadlines for exhibition and permanent collection checklists, floorplans, interactives, text, graphics, and other assets
  • Work with all departments to maintain master files on-line and on paper for each exhibition and archive files according to DMA guidelines. Administer related project management systems and ensure that all departments have access to information and material
  • Create and maintain exhibition records in TMS for the department
  • Manage the departmental budget and assist with other budgets overseen by the department. Process purchase orders, complete credit card expense reports, and reconcile accounting reports, check for accuracy and identify any discrepancies and forecast in close collaboration with the Exhibitions Coordinator and Director of Exhibitions
  • Other duties, as assigned

Key Qualifications:

  • Must be proactive, highly organized, detailed oriented and able to manage multiple concurrent projects within an ever-changing environment
  • Ability to evaluate priorities and work well under pressure; excellent time management, problem solving and analytical skills
  • Takes responsibility and accountability for the outcome of work; plans and prepares for all projects
  • Ability to form and maintain successful working relationships and work in a collaborative team environment is essential
  • Treats others with respect, fairness and sensitivity
  • Keeps information confidential, speaks honestly, yet tactfully. Consistently respects all of the Museum’s policies and displays professional demeanor as a representative of the DMA
  • Excellent computer skills with competence in Word, Excel, and Outlook necessary

Education, Experience, and Certification:

  • B.A. degree; Art History, Museum Studies, or Studio Art background preferred
  • Experience with museum exhibitions is desired, but not necessary. Previous experience within arts, culture, and/or nonprofit environment or equivalent is a plus
  • Working knowledge of TMS database is desirable
