Frieze London & Frieze Masters

The Fair & Programme Manager will act as coordinator across all departments throughout the company and externally to support the Fair Directors and Frieze teams in delivering the fairs and all related Frieze projects.

Key Responsibilities

STRATEGY

  • In collaboration with Fair Directors, relay the fair strategy across the teams, ensure it is considered and reflected in all decisions and processes.
  • Conduct market research and benchmark to drive decisions and maintain Frieze competitiveness.
  • Support decision-making process for the fairs, FVRs, and Frieze new online or in person initiatives where requested.

PROJECT MANAGEMENT

  • Build overall fair timeline in collaboration with Fair Directors and all departments.
  • Liaise with other fairs’ managers to resolve any timeline conflicts cross fairs.
  • Keep timeline up to date, keep track of upcoming milestones and ensure they are all met.
  • Support teams in identifying and liaising with local stakeholders/contractors as required.
  • Ensure quality of the services delivered to all clients in the lead up to the fair and onsite.
  • Proactively flag potential issues and implement solutions as agreed with Fair Directors and Frieze teams.
  • Coordinate regular catch ups between Fair Directors and key departments.
  • Coordinate meetings with relevant external stakeholders, research and prep documents and presentations.
  • For all meetings relating to the fair, set agenda, take notes, circulate relevant documents and follow up on action points.
  • Coordinate and lead debrief process, follow up on priorities and action points, ensure improvements are implemented on time and budget.
  • Be fully responsible for certain projects as agreed with Fair Directors including timeline, budget, internal processes and communications, liaison with external stakeholders and contractors, logistics and delivery, in close collaboration with Frieze teams.
  • Facilitate liaison between Frieze teams and local counterparts as agreed with Frieze Management and Fair Directors.
  • Support preparation of documentation and materials for external proposals, including funding, sponsorship, promotion and marketing opportunities.
  • Support Executive Director on various cross fairs or new projects, including research, meeting coordination, minutes taking, and action points follow up

PROGRAMMING

  • Deliver high quality fair programming, on time and on budget, across various in person and digital formats.
  • Coordinate and manage programme activations at and around the fair, including but not limited to Frieze Sculpture, Frieze Film, Frieze Talks, Frieze Live.
  • Facilitate liaison with programme curators, participants and vendors, as agreed with Fair Director.
  • Coordinate and manage fair initiatives such as stand prizes, artists/exhibition prizes, acquisition funds, non-profit activations.
  • Support Studios team in delivering additional projects, including but not limited to Frieze Artist Award and Frieze Music.
  • Coordinate and collate materials related to programming for press and marketing.
  • Brief Partnerships and Studios teams on potential sponsorable programming and support in securing and delivering partnerships
  • Support delivery of year-round programming and events where relevant, in person and online.

BUDGET & OFFICE MANAGEMENT

  • Keep track of budgets in relevant areas, as instructed by Fair Directors.
  • Identify possible savings, flag risk areas and ensure budget is met.
  • Ensure cost effectiveness of all solutions implemented.
  • Manage invoices coding and submission process.
  • Line manage Fair Assistant.
  • Oversee Fair Directors’ diary management, expenses submission and travel booking.
  • Coordinate meetings internally and externally on behalf of Fair Director.
  • Assist with staff travel arrangements, including but not limited to budgets, visa and entry procedures, flights and hotel room allocations.
  • Assist with the allocation and management of temp staff if required.

Required Qualifications

  • Ability to work and communicate effectively with artists, curators, museum and gallery professionals
  • Extensive client-facing experience
  • Ability to time manage, meet deadlines, and work effectively with multiple teams
  • Strong attention to detail
  • Calm despite the storm
  • Integrity and respect for colleagues and clients, team player, and exceptionally quick learner
  • Knowledge of art/art history and experience in the art world
  • Experience delivering large scale complex projects, involving multiple deadlines and stakeholders

Working Conditions

  • This is a maternity leave position.
  • The location is Surrey Street, London.
  • Working hours are 10:00 – 18:00, Monday to Friday
  • Occasional travel and weekend work may be required
