David Zwirner is one of the leading international contemporary art galleries, representing a major program of globally recognized artists and estates across New York, London, Los Angeles, Hong Kong, and Paris.
The Los Angeles gallery operates within a fast-paced commercial environment where front-of-house operations, sales coordination, and exhibition support converge. The Gallery Assistant plays a key role in ensuring smooth daily functioning and maintaining the gallery’s public-facing standards.
About the Role
The Gallery Assistant serves as the first point of contact for visitors, clients, and external inquiries, supporting both administrative operations and the sales team.
This role requires a highly organised, detail-oriented, and personable individual capable of managing multiple responsibilities in a dynamic gallery setting, while maintaining discretion and professionalism.
Responsibilities
- Greet and assist visitors with professionalism and warmth
- Handle incoming phone calls and direct sales, press, and general inquiries
- Prepare and update exhibition price lists and viewing materials
- Manage calendars for gallery staff, exhibitions, and events
- Coordinate shipping, receiving, mail, and package logistics
- Maintain office, kitchen, and gallery supply inventories
- Manage book inventory and gallery archive library
- Ensure front desk and public-facing areas are clean, organised, and presentable
- Order gifts for artists, clients, and institutional partners
- Assist with event planning, invitations, research, and execution
- Support the Sales team with CRM/database maintenance and research tasks
- Coordinate internal hospitality tasks such as team lunches and visiting staff needs
Candidate Profile
- Strong interest in contemporary art and gallery systems
- Highly organised with excellent attention to detail
- Strong written and verbal communication skills
- Ability to multitask in a fast-paced environment
- Experience with data entry and administrative systems
- Comfortable working in a client-facing role
- Team-oriented with a proactive and responsible attitude
- Previous gallery experience is a plus but not required
