Job Title: Head of Finance
Term: Full-time, permanent
Salary Range: £38,000-42,000 (Depending on Experience)
Reporting to: Managing Director
Overview
The Head of Finance is a crucial role responsible for financial systems and processes within the charity. This role entails overseeing financial functions and ensuring compliance with statutory reporting. The Head of Finance also plays a pivotal role in budget management, grants, payroll, and people management.
Position Details
- Location: Sheffield office, with remote work options available by agreement
- Hours: 37.5 hours per week (Expect longer hours during the festival with time off in lieu)
- Holidays: 25 days per annum plus bank holidays

Key Responsibilities
Systems, Oversight, and Compliance
- Ensure compliance with statutory reporting and prepare year-end financial statements
- Generate bi-monthly management accounts for SMT and Charity Trustees
- Process quarterly VAT returns
- Manage the company’s annual budget and financial risk register
- Report budget variances to the senior management team
- Keep financial systems up-to-date and aligned
- Introduce system improvements as needed
- Maintain external relationships with auditors, bankers, and statutory organizations
Supported by the Finance Assistant
- Maintain the weekly cash flow report
- Track, report, and reconcile festival-related sales
- Collaborate with HR for staff contracting and payroll
- Maintain records of company contracts with suppliers, funders, and sponsors
Budget and Grants Management
- Manage project and sub-budgets
- Track financial deliverables related to project funding
- Log and record external project budgets
- Manage budgets for year-round training and screening programs
- Track and file financial records for year-round projects
Financial Processes and Payroll
- Manage monthly payroll
- Manage the company pension scheme and staff pension arrangements
- Manage the sales and purchase ledger
- Manage payment systems and liaise with suppliers
- Review and authorize Petty Cash and Credit Card reconciliations
People Management
- Line manage the Finance Assistant
- Conduct appraisals and identify development opportunities
Leadership
- Engage in critical business issues and support business planning
- Model best practice behavior and uphold Sheffield DocFest values
Other
- Perform any other duties as required
Person Specification
Essential Requirements:
- Qualified in CIMA, ACA, or ACCA or qualified by more than 5 years of relevant professional experience
- Demonstrable experience managing company budgets and subsidiary project budgets
- Experience with public and private grants and sponsorship
- Understanding of VAT requirements
- Experience closely managing cash flows
- Experience processing company payroll and pensions
- Excellent knowledge of HMRC policy
- Proficiency in SAGE Line 50 & SAGE Payroll software, as well as Microsoft Excel
- Experience in line management
- Flexibility to work outside office hours when necessary
Desirable Requirements:
- Strategic thinker
- Experience in change management and systems improvement
- Interest or experience working for non-profit or charitable organizations
- Interest or experience working in the arts and culture sector
- Interest in film, media, and the arts
