Position Overview

Join our team at Borusan Contemporary, a dynamic contemporary art institution dedicated to exhibitions, events, and educational programs centered around the Borusan Contemporary Art Collection. We’re seeking a skilled “Museum Operations Specialist” to play a pivotal role in our museum’s administrative and operational excellence.

Responsibilities

Budget Management and Reporting

  • Manage, prepare, and track the museum budget.
  • Provide periodic budget reports to the Museum Director.

Supplier Invoice Oversight

  • Monitor invoices from museum suppliers and perform necessary quality checks.
  • Ensure approval by the Museum Director before processing.

Administrative Support

  • Assist the Museum Director and Museum Manager in meeting administrative and operational requirements of Perili Köşk, our museum location.
  • Collaborate seamlessly with internal and external departments and third-party stakeholders.

Secretarial and Administrative Duties

  • Handle secretarial and administrative tasks, including domestic and international correspondence.
  • Prepare presentations, dispatch, and coordinate office supply procurement.

Human Resources and Staff Management

  • Assist in administering all human resources and administrative processes for subcontracted museum staff.
  • Ensure effective coordination and management.

Operational Reporting

  • Report on various operational activities, including visitor analysis and revenue analysis.
  • Track guided tours and visitor survey analysis.

Efficiency Initiatives

  • Actively participate in initiatives aimed at enhancing museum processes.

Visitor Engagement

  • Periodically check and process visitor surveys collected via the museum’s website.
  • Manage visitor entries via a visitor information tracking system.
  • Organize special tour requests and workshops.

Educational Programming

  • Coordinate with an educational firm for children’s workshop programming.
  • Propose new programs, prepare budgets, and report results.

Marketing and Communication

  • Contribute to the development of marketing and communication activities.
  • Compare with international examples and generate applicable projects.

Event Contracts and Coordination

  • Prepare contracts for museum side-event participants.
  • Track signatures and payment processes.

Supplier Coordination

  • Monitor invoices from museum suppliers.
  • Ensure approval from the Museum Director.
  • Coordinate activities of the Museum Café, ArtStore, cleaning company, etc., in cooperation with their managers.

Printed Materials and Promotion

  • Actively participate in the production of printed materials and promotional items in line with corporate identity.
  • Track design adaptation processes for audio guides, digital audio guides, brochures, and other communication materials for exhibitions.
  • Coordinate communication with agencies.

Qualifications

  • Graduated from relevant university departments (Business, Economics, Museum Management, Art Management, Cultural Management, etc.).
  • 4-7 years of work experience, preferably with museum expertise.
  • Strong oral and written communication skills, with a curious and inquisitive mindset.
  • Organized, systematic, and an effective team player.
  • Passionate about culture and the arts.
  • Fluent in English.
  • Proficiency in Microsoft Office Programs, especially Word, Excel, PowerPoint, and Outlook.
