- Job Title: Operations Coordinator
- Reports to: Deputy Director
- Contract: 12-month contract, 4 days per week
- Hours: Tuesday to Friday (10 am – 6 pm), with some evening and weekend work
- Salary: £23,100 (£28,875 pro rata at 4 days a week)
- Start Date: On or before Tuesday, 6th August, with a 3-month probation period
Role Summary The Operations Coordinator ensures the smooth running of Gasworks. This position involves providing essential administrative and operational support across departments. The Coordinator manages office operations, building maintenance, and the residency house for artists.
Key Responsibilities
Operations
- Coordinate building maintenance and repairs for the Gasworks building.
- Source contractors, get quotes, and maintain a supplier list.
- Manage utility contracts and review for competitive quotes.
- Oversee housekeeping, office supplies, and ensure the residency house is well-maintained.
- Schedule annual equipment checks (e.g., boiler, lift, fire extinguishers).
- Ensure building safety and security, maintaining key audits and systems.
- Manage and maintain artists’ studios, including resets between residencies.
- Support building improvement projects.
- Organize gallery storage and ensure equipment is in good working order.
- Coordinate residency house maintenance and cleanliness.
- Act as a registered key holder, on call 24/7 for emergencies.
- Serve as a Fire Marshal for emergency evacuations (training provided).
Administration
- Ensure office resources and systems run smoothly, liaising with IT support.
- First contact for Directors’ office general inquiries via email and phone.
- Manage petty cash levels, including artist stipends.
- Support Deputy Director with recruitment, staff induction, and training.
- Ensure Health and Safety compliance and update risk assessments.
- Oversee maintenance budgets and report to the Deputy Director.
Exhibitions
- First contact for Head Technician regarding exhibition-related logistics.
- Support Programmes Manager with health and safety and drafting risk assessments.
- Assist with exhibition logistics, material orders, and artwork shipments.
- Available to accept deliveries of materials and artworks.
