Responsibilities

In this role, you will support the Regional Head of Operations Asia with all operational tasks related to planning and executing the show. This position plays a key role in ensuring the seamless execution of one of the world’s premier art fairs. Strong relationship-building with stakeholders is essential to provide an exceptional experience for exhibitors, visitors, and partners.

  • Show Floorplans: Prepare and manage floorplans, ensuring compliance with architectural designs and venue regulations. Collaborate with the Regional Head of Operations Asia, General Manager, Show Director, Regional Head of Gallery Relations, and Expomobilia.
  • Venue Understanding: Develop a deep understanding of the HKCEC venue layout and maintain relationships with venue stakeholders to ensure smooth communication and planning.
  • Design Compliance: Review venue and show design regulations, support Showkit and Manual updates, and manage lounge designs to ensure compliance.
  • New Designs: Manage and develop new show designs and improvements with Show Architects and vendors for high-quality production and execution. Maintain updated plans and layouts.
  • Signage and Wayfinding: Develop and implement signage and wayfinding manuals onsite, working with Show Management, internal departments, Show Architects, the Global creative team, design agencies, and third-party vendors.
  • Technical Plans: Use AutoCAD and Adobe files to prepare floor plans and technical plans for team requests and planning.
  • WiFi System: Plan and manage the development and implementation of the onsite WiFi system with the service provider to ensure high-speed and quality coverage throughout the venue.
  • Logistics: Manage onsite logistics with vendors, shippers, and galleries to ensure efficient material delivery within the build schedule. Liaise with art freight handlers for smooth gallery shipment movements.
  • Budget Management: Negotiate costs to ensure alignment with the show budget. Oversee the operational budget and serve as the main contact for suppliers.
  • Supplier Management: Prepare and conduct supplier tenders to secure high-quality services, optimal costs, and efficient processes.
  • Meetings Coordination: Coordinate meetings with clear agendas and log minutes for efficient tracking and planning.
  • Ad-Hoc Tasks: Flexibility to take on additional tasks as needed to support operational planning and execution.

Your Profile

  • Bachelor’s Degree or higher.
  • Minimum of 7 years of strong operations management experience with large-scale events; familiarity with Hong Kong events is a plus.
  • Strong attention to detail.
  • Highly driven and organized, capable of managing multiple large projects simultaneously under tight deadlines.
  • Excellent communication, interpersonal, and negotiation skills.
  • Creative, proactive, energetic, and persistent in generating new ideas and concepts.
  • Strong team player, able to work well independently and as part of a team.
  • Fluency in English and Cantonese; Mandarin is beneficial.
  • Preferred use of AutoCAD.
  • Proficient in Microsoft Office and Adobe Acrobat.
