
Production Assistant
Assist the Coordinator ( a ) of Exhibitions and Cultural Programming at the Museu das Favelas in the Program’s projects and actions, enforcing the contractual goals and obligations established in the Management Contract with the São Paulo Department of Culture and Creative Economy.
Conduct research by suppliers, artists, cultural producers, collectives and other professionals, according to the briefings received by the coordination of the area.
Write projects, programming menus, briefing for event guests and other information necessary for the production flow of a cultural action and project.
Prepare power point / canvas presentations for projects, as required and coordinated guidelines.
Monitor exhibition maintenance actions, checking ( via checklist ) the status of each equipment and support and activating the parts responsible for maintenance, when applicable.
Prepare production schedules and take responsibility for monitoring the steps, informing the coordination about the status of each stage of the project.
Communicate with the other areas responsible for the projects, in agreement with the coordinator, engaging the other sectors in the process of creating and producing programming and exhibitions and ensuring the transparency of the process and fluidity of information.
Participate in Working Groups ( GTs ) on Programming and Exhibitions, playing an active role in the communication and organization of the groups’ activities.
Receive suppliers, monitor the assembly and disassembly of events and exhibitions, document ( Photographic and written record ) the assembly and disassembly process, ensuring compliance with the checklists for each type of project and enforcing the obligations of each part ( internal and external teams of the Museum ).
Participate in briefing and guidance meetings with partners, consultants, suppliers and other professionals involved in the execution of projects.
Prepare minutes and memories of meetings, be responsible for writing down referrals and informing the parties about the actions necessary to deliver the project.
Prepare reports, according to the demands of coordination and management.
Feed spreadsheets and other sources of information and monitoring of the Program’s actions, according to internal demands of IDG, the Secretariat of Culture and Creative Economy, and other bodies, when necessary.
Assist the coordinator in the internal processes for requests for purchases and contracts, ensuring the organization of the relevant documentation and supporting the other areas involved.
Monitor the deadlines for hiring the Program services, obtaining information from the other IDG teams involved in the process, informing the sectors of the state of play of all the necessary processes, pending issues and adjustments.
Prepare, organize, analyze, archive documents and various correspondence, supporting the documentary management of the area and interfering with the CRIA team – Reference Center, Research and Library – for the production of information and documents for the institutional memory of the Museu das Favelas.
Formation: Complete High School, with desirable training – complete or in progress – in human and social sciences, visual arts, cultural management and production and / or related courses.
Knowledge: Excel, Canvas / Power Point and office package.
