Working Hours:
Full-time, 4 days a week. This follows the 100-80-100 model, meaning 100% pay for 80% of the time with a commitment to 100% productivity. Typical hours are Wednesday-Saturday, 10am-6:30pm. Additional days and hours may be required during art fairs, openings, and events.
Overview
Carlos/Ishikawa is looking for a full-time Gallery Co-Ordinator to manage daily operations. The role involves broad administrative support, particularly working closely with the Director and Assistant Director on client shipments and artist finances.
Responsibilities
- Produce and file shipping invoices, consignment and loan agreements, and artwork condition reports.
- Source shipping quotes and assist with artist and client shipments.
- Produce invoices on behalf of artists and manage some gallery and artist studio utility bills.
- Oversee team receipts and production of exhibition booklets, book stock, and book sales.
- Order and maintain stationery and kitchen supplies.
- Manage exhibition openings, general inbox, phone enquiries, and newsletter sign-ups.
- Assist with artist studio management and care, planning artist travel itineraries.
- Respond to press enquiries and create and archive press clippings.
Qualifications
- At least three years of experience in a similar role or assisting senior staff in a gallery, museum, or auction house.
- Demonstrable interest in art.
- Extremely well-organised, versatile, detail-oriented, and able to work independently.
